Update of the entry in CEIDG

Are you a sole trader and your data have changed? Remember to update your entry in the Central Register and Information on Economic Activity (CEIDG) where your business is registered.

How to handle a matter

A matter can be hadled:

  • at the office
  • by post
  • electronically

What you should know and who can benefit from the service

When registering your business in CEIDG you give various information that identify you as an entrepreneur. Such information may change over time. For instance, you may decide to change the area of your business activity, you may change your surname or switch from a fixed place of business to mobile work. In such cases, you need to update your data in CEIDG.

Submit an application to update your data in CEIDG in the event of changes in:

  • your personal details or citizenship
  • name of your business
  • address for service, fixed place of business, address of residence
  • your business contact details (e-mail, website address, phone number)
  • ePUAP address
  • area of your business activity as defined with PKD codes
  • date of starting your business activity
  • details of the succession manager
  • personal details of your statutory representative other than court-appointed officer or guardian, trustee, supervisor or administrator in restructuring proceedings – if required
  • joint marital estate

If you wish to terminate (suspend) your business activity, use the service concerning business suspension. If you decide to resume your business activity, you may do so through an online service of business resumption. If you wish to stop running your business permanently, use the option of removing your business from CEIDG.

When updating your data in CEIDG, you may also report the following:

  • bank account, to be notified to the tax office
  • a REGON entry or an update of your REGON entry
  • NIP identification or update application
  • VAT registration application
  • change in the taxation form
  • notice on the choice of accounting records
  • identification numbers obtained in other countries for tax or social insurance purposes
  • attorney-in-fact for CEIDG matters
  • succession manager, to be entered in CEIDG
  • information on a civil law partnership

When should you handle the matter

The following changes need to be reported immediately and no later than on the next working day after the change:

  • changes in the details of the succession manager, if appointed

The following changes may be notified when convenient to you, however, at all times in accordance with the facts:

  • date of starting business activity
  • personal details of your statutory representative other than court-appointed officer or guardian, trustee, supervisor or administrator in restructuring proceedings
  • date of suspending and resuming your business activity
  • date of closing your business (if given earlier in the application for entry in CEIDG)
  • information on the existence or dissolution of joint marital estate (if given earlier in the application for entry in CEIDG)

Where you can handle the matter

The service can be handled at:

  • Municipal and Commune Offices
  • urzędy dzielnicowe m.st. Warszawy
  • urzędy miast na prawach powiatu

The application to update your data in CEIDG may be submitted online. However, if you wish to handle this matter in person, visit any city/town or commune (gmina) office. At an office you can sign an electronic application which you have filled in on the CEIDG website, or you can submit the application on paper. In order to find the office closest to you, enter your city/town/village. In order to find the office where you can handle this matter, enter a location.

What to do step by step

  1. Choose how to submit your application – you have 5 options

  • Submit your application online without visiting the office

It will be most convenient to prepare and sign the application online. Click on the “Handle online” button which will redirect you to the CEIDG website. Create an account on the CEIDG website, fill in the form and sign it electronically through online banking, the Trusted Profile or with a secure electronic signature.

Note! If you do not have an account on the CEIDG website, follow the registration steps described in the instructions.

  • Fill in the application online and submit it at the office

If you do not want to sign the application electronically, you may fill in the application online on the CEIDG website and then sign it in person at the office. In order to fill in the application online you do not need to register on the CEIDG website - you may do this anonymously.

After filling in the application on the CEIDG website you do not need to print it out. Just remember the code (application number) that will appear on the CEIDG website once the application is filled in. You will need to give this code at the office. At the office a clerk will find your CEIDG online application using the code. The application will be printed out for you and once you sign it, the clerk will approve it in the system.   • Prepare the application to update your data in CEIDG over the phone

You may also prepare the application to update your data in CEIDG over the phone. In order to do that, call the Help Centre (801 055 088 or 22 765 67 32). A consultant will help you fill in the application. After the call, you will receive an SMS with a code (application number). You will need to give the code at the office. The clerk will print out your application for you to sign. The address and contact data of your closest city/town or commune (gmina) office may be found here.

  • Submit the application in person

You may also submit the application on paper at the city/town or commune (gmina) office. You will be given the appropriate form. If you wish to fill it in beforehand, you may download it from the CEIDG website, print it out, sign and submit at an office. The clerk will confirm the receipt of your application and enter the data from your application in the CEIDG system on the next day at the latest.

Please note! When submitting the application at the office, do not forget to have your identity document with you.

An application to update your data in CEIDG may be also submitted by an attorney-in-fact, appointed under general rules.

  • Submit the application by registered letter

The filled in application may be submitted by registered letter (if the application is sent by registered letter, it should bear the applicant’s hand-written signature certified by a notary).

The following changes need to be reported immediately and no later than on the next working day after the change:

  1. The authority will check your application

If the application prepared or submitted by you online is incorrect, the CEIDG ICT system will notify you about this.

If you submitted the application in person or by registered letter at the selected office and it was found incorrect, the office will immediately notify you and request that you correct or complete the application, within 7 working days.

  1. Your business data will be updated in CEIDG

In line with the “one-stop shop” principle, CEIDG will send the information on your updated data to the tax office, GUS, ZUS/KRUS and to any registers for regulated business activity (if your activity requires a concession or a permit).

In order to download your updated entry in CEIDG, find your entry in the database of entrepreneurs and choose Print / Download as PDF. Remember that offices may not require you to submit a certificate to confirm your entry in CEIDG.

Time limit

The entry will be updated no later than on the next working day after submitting the application – if this is your only application processed at the moment.

The entry is made once the data are entered in CEIDG, and no later than on the next working day after the date of submitting the application.
