Submit a notification of changes in data included in the statement on the posting of a worker to the territory of the Republic of Poland

If, during the posting process, there are any changes in the information provided in the statement on the posting of a worker to the territory of the Republic of Poland, you, as the posting employer, are obliged to notify the State Labour Inspection of this fact. To do this, submit a notification of changes in data in the statement on the posting of a worker.

What you should know and who can use this service

As a foreign employer posting a worker to temporarily perform work in Poland, you are obliged to notify the State Labour Inspection of any change in the data provided in the statement on the posting of a worker to the territory of the Republic of Poland. In particular, the change may concern:

  • the name of the posting employer,
  • the registered office (address) and business telephone number and e-mail address, and in the case of an employer who is a natural person - the place of residence (address) and the business telephone number and e-mail address,
  • the Tax Identification Number (NIP) or the identification number assigned in the Member State of establishment for tax or insurance purposes.
  • the data of the person appointed to contact the State Labour Inspection (or the data of the person acting on your behalf and authorised to represent you before the State Labour Inspection – if you are an employer from outside the European Union), including the person’s name, address of stay, and a business telephone number and e-mail address,
  • the place where documents on the posted workers are kept,
  • the identification details of workers posted to work in Poland,
  • the addresses of the places where the posted workers will work in the territory of Poland,
  • the end of the posting period before the expiration of the date previously indicated in the statement.

You are also obliged to file a notification of changes in data if:

  • you have assigned a worker to work for a user employer in Poland as a temporary work agency or placement agency – you must notify about the changes in data of the user employer or the change of this user employer
  • you referred an employee to work for a user employer in the EU as a foreign employment agency or staffing agency, and the user employer referred the worker to work in Poland, which required you to submit a statement on the posting of a worker to the territory of the Republic of Poland – you must notify about any changes in data in the information included in this statement (for example, the place of performance of work by such worker in Poland has changed).

What to do step by step

  1. Submit a notification of changes in data in the statement on the posting of a worker

The easiest way is to submit the notification of changes in data in the statement electronically, for this purpose select the “Perform the procedure online” button. Please note that you do not need to print, hand-sign or scan the notification forms. Just fill in the form on your computer and confirm it with a qualified signature or Trusted Profile.

Please note! Do not send the notification by e-mail, as it will not be accepted by the State Labour Inspection in this form.

You can also submit the notification of changes in data in the statement in paper form. To do so, use the templates provided on this website.

The notification in paper form may be:

  • sent by post, with acknowledgment of receipt (the acknowledgment of receipt will be confirmation of submitting the notification) to the Chief Labour Inspectorate in Warsaw
  • submitted in person, at the Chief Labour Inspectorate in Warsaw
  • submitted by an attorney, at the Chief Labour Inspectorate in Warsaw.

You can submit the notification in Polish or English.

Do not expect a confirmation of receipt to be issued by the office, as such documents are not issued.

Time limit

Submit the notification of changes in data no later than 7 business days from the date the changes occurred.

How much you will have to pay

  • PLN 0 – notification of changes in data included in the statement on the posting of a worker to the territory of the Republic of Poland (the service is free of charge)
  • PLN 17 – stamp duty for the power of attorney (optional).

Pay the fee to the account of the Warsaw City Council.

However, powers of attorney granted to your husband, wife, children, parents or siblings are free of charge. You do not need to attach a power of attorney if the application on behalf of the entrepreneur is submitted by a person registered as an attorney in the Central Registration and Information on Business (CEIDG).

Your case will be dealt with immediately.

Good to know

If you fail to notify the State Labour Inspection, within 7 business days, of changes in data provided in the statement on the posting of a worker to the territory of the Republic of Poland, a fine of PLN 1,000 to PLN 30,000 may be imposed on you.
